Finance Specialist – Contracts, Client Accounting, Payroll and Benefits

We work with some of the largest companies in the world on a variety of interesting and complex public affairs mandates and issues. We are looking for a we are hiring a Finance Specialist – Contracts, Client Accounting, Payroll and Benefits to join our growing agency.

Responsibilities:

  • Lead and manage contract signing, ensuring timely and accurate documentation
  • Administer and manage ADP enrollments, terminations, and changes
  • Accurately process payroll transactions, balance entries, and prepare files for audit across all business entities
  • Maintain secure and organized payroll records, recommending and implementing best practices for payroll procedures
  • Generate payroll reports, submit pension remittances, and prepare GL uploads for Finance, resolving any discrepancies
  • Respond to employee inquiries regarding pay, deductions, and taxable benefits
  • Oversee group benefits, including enrollments, changes, terminations, and invoice reconciliation
  • Support year-end payroll activities, reconcile reports, and coordinate the preparation of tax forms
  • Update and maintain payroll schedules, collaborating with the Talent team
  • Prepare communications related to bonuses, incentives and salary advances
  • Assist in administering mid year and year-end bonus payouts and handle confidential data
  • Stay current on payroll laws, communicate changes to clients, and participate in payroll process improvements
  • Administer benefit programs, process leaves and terminations, and submit required reports
  • Process ROEs, T4s, and other necessary payroll documents
  • Maintain Workers’ Compensation Board (WCB) insurance and handle premium filings across all business locations
  • Prepare and process; semi monthly, monthly and annual payroll for all employees across various geographies
  • Investigate and resolve any payroll issues in a timely and efficient manner
  • Collaborate with the Talent team to ensure accurate payroll-related changes, including bonus and incentive payouts
  • Provide payroll-related customer support to internal stakeholders
  • Manage client billing processes
  • Oversee revenue recognition and Incentive accruals
  • Conduct reconciliations and financial analysis
  • Perform ad-hoc finance related tasks

Qualifications:

  • Minimum 2 years of full-cycle Canadian payroll and benefits administration experience
  • Hands on experience with HR software (HRIS) such as ADP Workforcenow
  • Advanced Excel skills for reporting, metrics, and data validation
  • Strong interpersonal and communication skills
  • Ability to collaborate and create effective working relationships at all levels internally and externally
  • Ability to work in a dynamic environment with time-sensitive deadlines
  • Comprehensive knowledge of Canadian payroll requirements
  • High level of integrity with the ability to deal with confidential and sensitive information with a high degree of professionalism
  • Critical thinking and analytical skills with a focus on problem solving and continuous improvement
  • Meticulous attention to detail, accuracy, and very strong organizational and prioritization skills
  • Effective customer service standards, with a growth mindset

Position Details

This is a full-time, permanent position based in our Toronto office. This position will report to the Director of Finance.
