We are Crestview Strategy, a public affairs agency, and we are looking for an Executive Assistant to join our growing team.  

We are a multi-national firm serving clients across Canada, UK, The Gulf and Australia. We work with some of the largest companies in the world on a variety of interesting and complex public affairs mandates and issues.  

Reporting to the Director of Operations, the Executive Assistant will provide proactive, high-quality executive and administrative support to senior executives. The successful candidate will play an important role in helping executives manage competing priorities, stay organized, and operate effectively in a fast-paced environment, while also supporting office and operations needs as required. 

Role description 

  • Manage calendars and scheduling for multiple senior executives including internal meetings and external stakeholders 
  • Provide day-to-day administrative support to executives, tailored to individual working styles and support needs 
  • Coordinate meeting requests and ensure timely follow-up on invitations and changes 
  • Prepare and reconcile monthly expense reports and support executives with timely submission of expenses 
  • Reconcile corporate credit card statements and ensure receipts and documentation are complete and accurate 
  • Assist with gifting coordination and other executive support tasks, as required 
  • Book travel and coordinate itineraries for executives, visiting staff, and clients, as needed 
  • Assist with planning office outings, client events, and company social events 
  • Assist in organizing logistics for conferences and other events 
  • Assist with special projects and additional support, as needed 
  • Perform other related duties, as assigned 

Requirements 

  • Strong work ethic, highly organized and detail-oriented 
  • Comfortable working in fast-paced and constantly evolving environments 
  • Minimum 3 years of executive assistant, administrative, or related experience supporting senior executives  
  • Demonstrated experience managing complex calendars, expenses, and executive administrative support 
  • Proficient in Microsoft Office Programs and applications (MS Word, Excel, PowerPoint, One Drive, One Note, Sharepoint and MS Teams) 
  • Service-focused approach to client service and engagement 
  • Ability to acquire skills and knowledge specific to an assigned project, and a knack for becoming an expert on new topics 
  • Ability to work collaboratively as part of a distributed and/or remote team  
  • Excellent communication and organizational skills 
  • Ability to prioritize tasks to meet deadlines with attention to detail 
  • Ability to work both independently and to effectively collaborate with others as part of a team  
  • Punctual and reliable 

Position details 

This position is hybrid and can be based out of our Toronto or Ottawa office. 

This position is a new vacancy, with salary range of $60,000 – $70,000 annually, plus up to 20% performance bonus.

Overview

We are Crestview Strategy, a public affairs agency, and we are hiring an intern to join our growing team.

We are a multi-national firm serving clients across Canada, UK, The Gulf and Australia. We work with some of the largest companies in the world on a variety of interesting and complex public affairs mandates and issues.

As an intern, you will be working closely with the Office Manager (Ottawa) who will provide you the direction and coaching with real hands-on projects and daily tasks. Crestview Strategy is dedicated to developing successful leaders, and we strive to make this internship an exceptional learning experience.

This is a four-month, paid internship position, based on-site at our Ottawa office.

Role Description

  • Support Ottawa office operations, including reception, mail/courier handling, emails, printing, and filing.
  • Assist in maintaining safety and security protocols.
  • Provide shipping and receiving support, including handling heavy items.
  • Assist with correspondence and gifting activities for the agency.
  • Coordinate vendor and contractor visits as needed.
  • Assist with travel bookings for visiting staff and clients as needed.
  • Monitor and replenish office supplies (snacks, beverages, stationery, field materials).
  • Liaise with building management for cleaning, repairs, maintenance, and security.
  • Help maintain office organization and cleanliness, including kitchen, meeting rooms, and workstations; assist with AV equipment checks.
  • Support planning of office outings, client events, and company socials.
  • Assist with logistics for conferences and events, including catering for meetings and functions.
  • Provide assistance to the Operations team members including IT, admin, and other special projects.
  • Perform additional related duties as assigned.

Qualifications & Experience

  • Client-focused, with experience in hospitality roles preferred
  • Strong work ethic; highly organized and detail-oriented
  • Comfortable adapting to fast-paced, dynamic environments
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, OneDrive, OneNote, SharePoint, Teams), and comfortable learning new applications
  • Skilled at quickly acquiring new knowledge and developing expertise in assigned projects or topics
  • Capable of working effectively in unstructured settings with minimal guidance
  • Exceptional communication and organizational skills
  • Adept at prioritizing tasks to meet deadlines while maintaining accuracy
  • Able to work independently and collaborate effectively within a team
  • Dependable, punctual, and reliable
  • Bilingual (English/French) preferred

Position Details

This position is an existing vacancy, with salary range of $40,000 – $50,000 annually.
